Members and roles

The Team page is where an admin decides who belongs to the organization and what each person can do. A member’s role says what they may manage; their seat says which scenarios they reach and which credits they receive.

  • You need the Admin role. The Team page appears in the sidebar for admins only.
  • To give paid seats, your organization needs a Pro or Instructor subscription. See Subscribe to a plan.
Role What it is for
Admin Full control over the organization, its members and billing.
Billing Admin Manages subscriptions and buys seats for members.
Learner Self-paced labs, playgrounds and tutorials.
Instructor Authors scenarios and runs cohorts, with an Instructor seat.
Recruiter Manages assessments and candidate invitations.

Which roles you can choose depends on how your organization is billed:

  • a self-serve subscription offers Learner, Instructor, Admin and Billing Admin;
  • an Enterprise contract also offers Recruiter, because hiring assessments are part of the contract.

What a member can launch depends on their seat, not their role. Scenario Studio and cohorts need an Instructor seat; Pro scenarios need a Pro Learner or Instructor seat. See Plans and credits.

  1. In the sidebar, open Team, then click Add member.

  2. In the Add team member dialog, enter the person’s Email address and pick a Role.

  3. Click Add member.

The person is added straight away and a Member added confirmation appears. They sign in with email, Google or GitHub.

  • If the person has no Klastro account yet, one is created for them and they receive an invitation email to finish setting it up. Until they do, the Status column shows Invited, then Setup started once they have opened the link.
  • If they already have an account, they find the organization the next time they sign in.

Every new member starts on the free Trainee seat with no credits. Being added never costs you anything. To let them run labs, give them a paid seat or some credits (see below).

If the invitation was not used, click Resend invitation in the member’s Status column. A new invitation link is sent to the member’s address.

  • Link expired means the previous link timed out: resend it.
  • Email not delivered means the last email bounced. Check the address, then resend.
  • After a resend, the button shows Resend available in …s until you can send again.

Pick the new role in the Role column of the member’s row. The change applies at once and a Role updated confirmation appears.

Changing a role never changes the member’s seat. A member who held a paid seat keeps it until you release it.

In the Seat column, choose Pro Learner or Instructor, then confirm with Allocate seat. The seat comes out of the pool you already paid for, so your bill does not change.

To take a seat back, choose Trainee and confirm with Release seat. The member keeps their account but only reaches free scenarios and the sessions an instructor assigns them.

A member can receive a seat only after they have signed in; until then the column reads Awaiting sign-in. For the full procedure, see Manage seats.

You can hand some of your own credits to another member, for example so a learner without a paid seat can run labs.

  1. On the member’s row, click the coins icon (Give credits).

  2. Enter the Amount. The dialog shows how much is available to give. Decimals are allowed.

  3. Click Give credits.

The credits leave your balance and are added to theirs, to spend on their own labs. Credits that came with your seat stay with the seat and cannot be given, so the amount you can give may be lower than what you can spend.

  1. On the member’s row, click the remove icon (Remove member).

  2. In the Remove team member dialog, click Remove member.

Klastro scopes what members see to themselves:

  • the Billing page shows each member their own credits and their own labs only. Admins and billing admins also see the organization’s plan, seats and credit history;
  • the Team page lists each member’s Credits balance, which only their own labs draw down. It can be negative when a running lab outlasted the credits that started it.

Organizations under an Enterprise contract do not have the Seat and Credits columns: their capacity is set by contract.
