Manage seats

Paid seats work like a pool. You buy seats into the pool, which changes your subscription, then assign them to members, which does not. Releasing a seat returns it to the pool for someone else. For what each seat gives, see Plans and credits.

  • You need the Admin or Billing Admin role.
  • Your organization needs a live Pro or Instructor subscription. Without one, the Seats tab reads Subscribe to Pro or Instructor from the Plan tab to start buying seats. See Subscribe to a plan.
  • Organizations under an Enterprise contract have no seat pool: every member reaches every scenario, and the Seats tab and the Seat column are not shown.

Open Billing, then the Seats tab. From top to bottom:

Area What it shows
Instructor seats / Pro Learner seats Seats assigned out of seats purchased for each tier, how many are unassigned, and the monthly credits each seat carries.
Seat licences One card per purchased seat, with who holds it and the credits left on it. Free seats read Unassigned.
Adjust your paid seats Buy or remove seats of one tier.
Members table Each member who can hold a seat, with their Role, the Credits left / seat on the seat they hold, and a Seat control. An Unallocated pool row totals the seats nobody holds yet.
  1. Under Adjust your paid seats, pick the tier: Pro Learner or Instructor.

  2. Set the quantity with the minus and plus buttons, or type it.

  3. Click Buy, check the Buy … seats? dialog, then click Buy seats.

The seats are added to your subscription and your bill increases. They land in the pool, unassigned.

A member can receive a seat once they have signed in at least once. Until then, the Seat column reads Awaiting sign-in.

  1. In the members table of the Seats tab, open the Seat control on the member’s row.

  2. Choose Pro Learner or Instructor. Each option shows the seat’s price for reference; a tier with no free seat left is greyed out.

  3. In the Give … seat? dialog, check the credits the member will be able to spend. If several free seats of that tier hold different amounts, pick the one to hand over; the fullest is selected by default.

  4. Click Assign seat.

Assigning a seat never charges you: it uses a seat you already paid for.

Only some roles can hold a seat. Billing Admin and Recruiter members show a dash in the Seat column, with the tooltip This role does not hold a seat.

Choose the other tier in the member’s Seat control. Moving from Pro Learner to Instructor is one step, but it needs a free Instructor seat: the two tiers are bought separately, so a Pro seat cannot pay for an Instructor one.

To take a paid seat back, choose Trainee in the member’s Seat control.

  • On the Seats tab, the seat is released straight away.
  • On the Team page, a Release seat dialog asks you to confirm first.

The member becomes a trainee: they keep their account and their membership, but reach only free scenarios and the sessions an instructor assigns them. The seat goes back to the pool with the credits left on it. Releasing does not cancel or lower your subscription.

  1. Release the seats of that tier that members still hold. You cannot remove seats that are still assigned.

  2. Under Adjust your paid seats, pick the tier and quantity, then click Remove.

  3. Check the Remove … seats? dialog, then click Remove seats.
